How to record a Zoom meeting, as host or as a participant

How to record a Zoom meeting depends on one thing: whether you are the host. Hosts have Zoom’s own Record button. Participants can only use it if the host allows it. Everyone with a Mac has a third option: Recordd records your microphone and the meeting audio as two separate tracks, straight from macOS, with nothing joining the call.
This guide covers all three, plus what actually works on an iPhone or iPad, and when Zoom’s built-in recording is the better pick.

If you are the host: use Zoom’s Record button
In the meeting toolbar, click Record and choose Record on this Computer or Record to the Cloud. Local recording is available on Zoom’s free plan from the desktop app; cloud recording needs a paid plan. Zoom shows a recording indicator to everyone and plays a notice. When the meeting ends, Zoom converts the local file to MP4 and M4A, or posts the cloud recording to your account. This captures video, screen shares, and the gallery view.

If you are a participant: ask the host, or Zoom will not let you
Zoom only shows participants the Record button after the host grants permission, from the Participants panel, Allow to Record Local Files. If the host says yes, you record like a host. If the option is grey, Zoom has not been told you may record. That is where the next step comes in.

On a Mac, record any Zoom meeting with Recordd
Install Recordd on your Mac (macOS 14 or later, Apple Silicon or Intel) and grant one permission on first launch: Screen & System Audio Recording. Recordd uses Apple’s ScreenCaptureKit for the audio only; no video or screen content is read. Join the meeting, press ⌘R, and it records two tracks: your microphone on one, everything the Mac plays on the other. Echo cancellation and mic ducking keep each side clean. It works whether you are host or participant, because it records your Mac, not Zoom.

Do not worry about the recording itself
Recordd writes audio to disk in short segments while you record and uploads them as you go. If Zoom crashes, Recordd crashes, or the Mac goes to sleep, the recording is recovered and finished the next time Recordd opens. Recording works offline; transcription waits until you are back online.

Stop, then Process for a transcript with speakers
When the meeting ends, stop and tap Process, or Save without transcribing and decide later. Pick the language, or auto-detect, from 26 languages. Because your voice has its own track, you are tagged “me”. Other participants are separated by voice; name someone once and Recordd recognizes them next time, and with calendar access it suggests attendees from the invite. Each recording gets a title, a summary, and action items, and you can search every word or ask the recording where something was said.

Tell the room
Zoom’s own recording announces itself. Recordd does not: nothing joins the meeting and Zoom shows no indicator. So say it at the start. In many places you need everyone’s consent to record, and the rules vary; check what applies to you. A transcript nobody minded is worth more than one you cannot use.
How to record a Zoom meeting on iPhone or iPad
A phone is the weakest place to do this.
Zoom’s mobile app records only to the cloud, which needs a paid plan and host rights. Third-party apps on iPhone and iPad, Recordd included, cannot tap into Zoom’s audio: they hear what comes out of the speaker. So if you must record a Zoom call from a phone, put it on speaker, record the room with Recordd, and expect one mixed track. The transcript still separates speakers by voice, and you still get the summary and search.
iOS Screen Recording captures video of your screen and, if you enable the microphone in its long-press menu, your own voice. Whether the meeting audio lands in that video depends on the app and your audio route, so test it before a meeting that matters. For a searchable transcript rather than a video, record from a Mac instead.
Record a Google Meet or Microsoft Teams meeting on Mac the same way
Recordd does not know or care which app the sound comes from. Google Meet in a browser tab, Microsoft Teams, Slack huddles, Discord, FaceTime, WhatsApp on the Mac: press ⌘R and the same two-track recording starts. The Meet or Teams recording button, which usually needs an admin or a paid plan and always tells everyone, is not required.
When Zoom’s own recording is the better choice
If you are the host and the meeting is a company town hall or a webinar that needs the video, Zoom’s built-in local or cloud recording is the right tool. It captures screen shares and the gallery view, and it announces itself to participants. Recordd records audio only, and it is at its best when you want a transcript you can search, not a video you can replay.

Can you record a Zoom meeting?+
Yes. As host, with Zoom’s Record button, locally on the free plan or to the cloud on a paid plan. As a participant, only if the host allows it. On a Mac, Recordd records any Zoom meeting you are in, as two audio tracks, regardless of your role.
Can you record a Zoom meeting as a participant?+
Inside Zoom, only after the host grants you permission from the Participants panel. Outside Zoom, yes: on a Mac, Recordd records your microphone and the meeting audio without needing the host’s settings. Tell the other participants; in many places consent is required.
Can you record a Zoom meeting without permission?+
Zoom will not let you record inside the app without the host’s permission. A Mac app like Recordd records what your computer plays, so Zoom cannot block it and shows no indicator. Whether you may do that is a legal question that depends on where everyone is; in many places you need everyone’s consent. Ask.
Does Zoom notify participants when someone records?+
When the host or a permitted participant uses Zoom’s Record button, yes: a recording indicator appears and a notice plays. Recordings made outside Zoom, on your Mac, do not trigger any notice, which is why you should announce them yourself.
Can you screen record a Zoom meeting?+
On a Mac or iPhone you can use the built-in screen recorder to capture video of the meeting. Whether the meeting audio is included depends on the app and your audio setup, so test it first. For a transcript with speakers rather than a video file, record the audio with Recordd instead.
How do I record a Zoom meeting for free?+

Do I need a virtual audio driver like BlackHole or Loopback?+
